Controller
Reports to: Executive Director
Full-time, salaried position
Requirements:
* Bachelor’s Degree required.
Knowledge and experience in administration and accounting.
Proficient in Excel and QuickBooks.
* Preferred: 3-5+ years administration and accounting experience ideally in Not-for-Profit Organizations General Responsibilities: * Manage the financial activities of South Shore Arts, and the Northwest Indiana Symphony, Responsible for internal and external financial and regulatory reporting.
Produce and monitor the annual budgets.
Oversee contracts and maintenance for general office systems and equipment.
Accounting: * Supervise cash receipts and cash disbursements and assist as needed.
Deposit weekly Youth Orchestra cash collections.
* Review and analyze variances to budget.
* Confirm correct distribution to accounts.
* Responsible for petty cash and bulk mail replenishments and reconciliations.
* Manage receivables, payables, prepaid, and deferred income and expenses.
* Prepare and oversee bank reconciliations on a monthly basis.
* Prepare monthly account reconciliations.
* Maintain and review investment activity and files.
Record income, distributions, and fees.
* Oversee recording of gift shop and gallery sales and related monthly tax reporting and payments.
* Record General Journal entries.
* Project cash requirements and manage cash use in such a way as to assure smooth operations, on a weekly basis.
Payrolls: * Provide on-boarding of new employees, use E-verify to confirm employment eligibility.
Maintain employee files and employee handbook.
* Administer employee health plans, both company policies and Aflac.
Monitor eligibility, adjust payroll deductions as needed, and meet all insurance company and government reporting requirements.
* Administer employee pension plan deductions.
Includes contributions to Musicians Union and symphony 403(b) plan.
* Responsible for semi-monthly staff payrolls and orchestra payrolls and all related functions.
Develop and manage process for accurately and efficiently compiling orchestra payroll information; comply with the orchestra union contract requirements relative to fulfilling all state and federal reporting and depositing requirements for staff and orchestra payroll.
Reporting: * Develop monthly cashflow forecasting and reporting.
* Develop forms and procedures for tracking program activities.
* Produce and/or design any required internal reports; including program reports, budgeting, cash use projection, and financial statements.
* Provide monthly support and feedback to all staff including regular reporting and reconciling of receipts and payments of the following: ad sales, ticket sales, class fees, teacher payments, gift shop sales/expenses, large donations, concert expenses, and event income/expenses.
Also, monthly reporting and reconciling with the youth orchestra, WANISS, and chorus for the Symphony.
* Provide monthly South Shore Arts and Symphony financial reports to executive staff, Finance Committee and the Boards of Directors.
* Attend Monthly Finance Committee meetings.
* Attend Board Meetings as requested.
* Communicate with vendors and issue W-9 forms and sales tax exemption forms.
* Produce, e-file, and distribute yearly 1099 forms to vendors.
* Complete and file quarterly and year-end payroll tax forms.
(State UC and federal 941/940).
Complete and e-file monthly WH-1 tax forms.
* Produce and distribute annual W-2 forms to staff and musicians.
Audits: * Assist external accountants with annual audits by assembling data, completing supporting schedules, and provide answers to questions/issues.
* Provide information for federal and state income tax filings and property tax filings.
Budgets: * Create budget spreadsheets and cash usage projection consistent with the accounting system.
Coordinate with other staff members to compile accurate annual budget estimates and track results.
Assist with any finance-related reports and tasks.
* Work with Executive Director and the Finance Committee to refine financial statements and budget presentations.
* Prepare budgets for grants and other programs as needed.
Administration: * Maintain communications with outside agencies; submit information or reports and assure compliance with regulations.
Including, but not restricted to, required filings to the Dept.
of Labor, IRS, Indiana Secretary of State, Charity Gaming Commission, Indiana Dept.
ofRevenue, County Tax Assessor, American Orchestra League, National Federation ofMusicians, and all insurances (health, general liability, fine arts, workman's comp.
andDirectors and Officers).
* Complete and file annual Business Entity Reports, Entity Annual Reports, Charity Gaming applications, Charity Gaming Event Reports, Charity Gaming Annual Reports.
Provide information for Property Tax Exemptions Requests, Property Tax Returns, and Federal and State Income Tax Returns.
* Administer business insurances—general, workman's comp, fine art, and D&O.
Ensure timely renewals, solicit comparative quotes, and provide requested information and reports including annual Workman's Comp audits.
Post required employee notices, process any claims.
* Compile financial data for grants and provide reports as needed; track applications, awards, and complete financial reporting.
* Maintain paper and electronic files for organizational records, including insurance files, leases, contracts entered into by South Shore Arts and NWI Symphony staff, grants, audits, etc.
* Manage hardware and software for all computers, including specialized software for gift shop, development, ticketing, and marketing.
Maintain upgrades, service schedules and documentation for all computers.
* Responsible for all office equipment including: phone systems, credit card clearing equipment, copiers, and postage meters.
Review, and renew/negotiate contracts with approval of Executive Director.
Implement cost-savings procedures.
* Responsible for cash banks and check-out management at fundraising events.
* Recommend applicants for intern and bookkeeping positions to Executive Director.
Train and supervise accounting personnel.
Job Type: Full-time Pay: $50,000.
