The Forest Preserve District of DuPage County provides opportunities for people to connect with nature.
We offer to the public 60 forest preserves, 145 miles of trails, 47 miles of rivers and streams, and 6 nature and cultural centers.
We have 6 million visitors each year.
The District's mission is, "to acquire and hold lands containing forests, prairies, wetlands and associated plant communities or lands capable of being restored to such natural conditions for the purpose of protecting and preserving the flora, fauna and scenic beauty for the education, pleasure and recreation of it's citizens.
Job Summary
This position provides administrative support to a director-level position.
Specific job duties vary based on department needs and include the ability to work effectively with a variety of personnel in key positions.
Work may be diverse in nature, and highly technical and confidential.
Essential Duties and Responsibilities:
• Assist with multi-phase administrative, fiscal, and personnel activities and District-wide projects.
• Prepare and track documents ensuring accuracy and completion in accordance with the prescribed deadlines.
• May supervise assigned personnel; perform support functions for department director, executive management, and other department staff.
Schedule and coordinate programs and meetings
• Prepare ordinances, resolutions, and agenda items for meetings.
• Take and transcribe minutes while also assisting other department executive assistants with agenda preparation and minutes.
• Create and maintain recordkeeping reports.
Assist in budget preparation and on-going monitoring of the budget.
• Research and prepare written reports, compose correspondence, and respond to requests for information.
• Serve as liaison between department heads, division management, and staff, and respond to issues.
• Utilize word processing, database, spreadsheet, and communication software to create and modify a variety of projects.
• Foster a working environment that promotes safe work habits; Become familiar with and observe all applicable safety rules, policies, and work procedures; Follow all safety rules that pertain to the duties performed and support all aspects of the District's safety and risk management program; Keep work area clean, orderly, and free of hazards; Immediately report all unsafe conditions and incidents.
• Maintain a supportive working environment and demonstrate a desire to exceed the expectations of internal and external customers.
• Perform other duties as required.
Requirements:
• High School Diploma/GED required.
An Associate's Degree (or 60 college credits equivalent) is preferred.
• 4 - 6 years of related work experience in an administrative role, or equilevant combination of training and experience.
• Ability to perform job duties with a high degree of tact and discretion while dealing with confidential materials and actions.
• Proficiency with Microsoft Office Suite.
• Ability to maintain complete, accurate, and organized records.
• Effective verbal and written communication skills.
• Ability to establish rapport and maintain effective working relationships with the public, vendors, elected officials, and staff.
• Ability to prioritize and manage multiple tasks and projects while interpreting and applying complex written and verbal instructions.
Hours: Full Time
