International Business and Legal Services Group (ILBSG) is a full-service immigration law firm located in Schaumburg, IL.
We are currently seeking a friendly, self-motivated full-time Legal Receptionist to manage our front desk.
At ILBSG, the Legal Receptionist role is instrumental in creating an environment and culture focused on highly accessible, exceptional client service.
In this role, you will answer and redirect phone calls as necessary, greet clients and other visitors at the office when they arrive, schedule client appointments, and take accurate messages for attorneys and other staff.
Daily duties include sorting and distributing mail, organizing client files, and assisting lawyers with other administrative duties, as necessary.
Our ideal candidate is highly detail-oriented, personable, and excellent at multi-tasking.
Experience is a plus but not required.
*Duties and Responsibilities:* * Open the office, greet visitors in a friendly manner, and determine the reason for their visit.
* Quickly answer phone calls and assist clients, redirecting them to the appropriate department where necessary.
* Send and respond to emails in a professional and friendly manner.
* Maintain detailed calendars, coordinate schedules, and prioritize appointment requests.
* Prepare conference rooms for meetings.
* Communicate with clients, attorneys, and paralegals regarding case updates or inquiries.
* Handle administrative tasks, including filing, scanning, photocopying, and data entry.
* Manage mail, faxes, and shipments to and from the office.
* Support attorneys and staff with various legal administrative tasks as needed.
* Oversee standard office equipment and supplies (such as printer ink, toner, and paper), keeping inventory and ordering more when necessary.
* Recognize issues requiring immediate attention, communicating effectively to leadership to minimize office disruptions.
*Required Skills and Qualifications:* * High school diploma or equivalent * 1+ year receptionist or administrative support experience * Experience is a plus but not required * Excellent written and verbal communication skills * Ability to answer calls quickly, speaking clearly with appropriate volume in a pleasant tone, keeping hold time brief, and listening actively while remaining composed * Ability to multitask and manage time effectively * Ability to demonstrate professional courtesy and politeness at all times with clients and staff * Proficiency in Microsoft Office Please submit your resume along with a cover letter detailing your relevant experience.
