About The Role:
As a member of the Client Services Team, the Client Services Representative II / Office Administrator is responsible for preparing client reports and for maintaining contact with clients to provide or obtain updated information, schedule meetings with preferred staff, and troubleshoot problems while maintaining a positive and client centric approach.
A Client Services Representative II / Office Administrator also has experience and ability to coordinate services for high-net worth families and foundations.
This role is comprised of two different parts, as the Client Services Representative II you can expect to focus in the following areas:
• Provide first line of client contact to high-net-worth clients with complex AUM.
• Proactively communicate with clients
• Troubleshoot problems, schedule, and organize meetings; serve as liaison between Advisor and client as needed.
• Manage client information—prepare client reports, submit and follow up on necessary paperwork, regularly update Salesforce.
• Efficiently utilize technology to perform a variety of tasks.
• Assemble materials for client meetings.
• Act as a liaison to outside custodians and other third-party vendors as well as other outside professionals such as accountants and attorneys.
• Attend staff meetings and trainings at home office as requested.
• Facilitate completion of all client applications and transfer documents.
Attend client paperwork meetings to obtain client signatures on all required forms, as necessary.
• Conduct client paperwork signing meetings with clients.
• Proofread reports, forms, and electronic data for errors.
• Maintain team approach by assisting and filling in for others.
As the Office Administrator you can expect to focus in the following areas:
Professionally answer and direct incoming telephone calls.
Professionally greet and assist visitors in support of other team members.
Seat and serve clients
Assist in coordinating RSVPs, setup and planning for all events hosted in area
Create Master Calendar and confirm next day appointments
Run daily client meeting reports
Receive, log, and distribute client mail delivery and packages
Maintain call log sheet and new prospect call log
Prepare/process reports for client meetings.
Prepare UPS Shipments for office.
Assemble materials for mailings, stuff, and seal envelopes, apply labels and postage
Check conference rooms and lobby for cleanliness
Process sympathy touches and client gift requests as needed
Inventory office supplies and process supplies received
Execute closing procedures for office
Support client and marketing events as requested
The Client Services Representative II / Office Administrator position typically requires the following qualifications:
Associate degree from an accredited college or university; Bachelors degree preferred
Financial Paraplanner Qualified Professional (FPQP) designation or other investment related designation within 24 months of hire
3-5 years proven success in an administrative support function in an investment environment.
Proficiency in Word, Excel, PowerPoint, Outlook, CRM software
Must be organized and detail-oriented
Client first attitude
Strong communication skills
Team player, collaborative, able to work with and through others
