The Village of Bolingbrook is seeking qualified candidates for the position of Confidential Administrative Aide in our Finance department.
Under the general supervision of our Director of Finance, this position performs confidential tasks and secretarial services to support effective and efficient operations in the department.
*Salary: *$65,000.
00 to $72,500.

*Shift:* Typical workweeks are Monday-Friday, 40 hours, with phone calls, e mails, and other duties
*Examples of Duties:*
* Deals with confidential Village employee files, reports, and documents.
* Prepare and type correspondence, including Audit Confirmation letters, for Finance Director and other personnel as requested.
* Responsible for Delinquent tax revenues correspondence, including scheduling hearings with Village attorney.
* Prepares, tracks, and processes Board Action Forms for Village Board Agenda items.
* Prepares finance department’s check requests.
* Maintains department Masterfile and keeps up with the document destruction policy.
* Maintains finance departmental attendance and personnel records.
* Administers finance department payroll; processes biweekly timesheets, personnel payroll change forms for; salary changes, transfers, promotions, terminations, longevity, etc.
* Assist in the dissemination of policies and directives.
* Prepares various financial reports, spreadsheets, and charts as needed.
* ·Prints payroll, disbursement, and interim checks.
* May be called upon to backup various positions in the Finance Department.
* ·Attending Finance Committee meetings and preparing minutes.
* Assist in compiling the annual budget reports.
* Responsible for finance department’s newspaper publications such as the annual budget hearing, Truth in Taxation, and annual treasurer’s report.
* Schedule appointments and interviews.
* Responsible for petty cash for the Finance department.
* Performs other office tasks as required or assigned.
*Acceptable Experience, Training, and Worker Characteristics:*
* High School graduate or equivalent
* Previous experience working in a Finance Department strongly preferred.
* Previous employment with municipality preferred.
* Knowledge and experience in standard office equipment and computer software programs.
* Four (4) years' experience as an administrative aide in office procedures.
* Knowledge of the Village of Bolingbrook.
* Ability to communicate professionally and politely with the public, supervisors, and fellow co-workers at all times.
* Ability to handle stressful, unusual, or unpleasant situations firmly, courteously, tactfully, and impartially.
* Ability to maintain confidentiality in the performance of duties.
* Ability to pass a comprehensive background check.
* Ability to climb stairs, walk, stand, lift moderate weight, or sit for extended periods.
* Reside within thirteen (13) miles of the center of the Village of Bolingbrook (as determined by the Public Works Department), or within a municipality, any portion of which is located within thirteen (13) miles of the center of the Village of Bolingbrook, within six (6) months of the date the probationary period ends.
