The person in this role will play a significant part in helping out the attorney in the area of law that includes real estate, probate, and estate planning transactions.
They will also be a key administrative player in the externship programs which serves the students’ best interests as well as the interests of the judges and organizations that host these students.
COMMUNICATIONS
Inquiries are handled via email, telephone and in person.
The ability to professionally communicate both verbally and in writing is key.
Most communications are with students, attorneys and court personnel.
CUSTOMER SERVICE
Serves as the point of contact for students, clients and court personnel.
The person in this position will maintain relationships with the attorney and her clients but also with judges and other court and personnel.
In addition, students will be placed in corporations and other organizations so maintaining relationships with the personnel in these places is key.
The key customer if this position are the students who will look for guidance.

Qualifications
Education & Experience
High school diploma or equivalent and legal secretarial experience of at least three years.
Graduate of secretarial or business school is a plus.
Experience in the real estate and/or estate planning/probate law field is preferred, but not necessary if there is proven success as a legal secretary.
Knowledge & Skills
Ability to type 65 wpm with an error rate of 2% or less.
Knowledge of how to prepare legal documents is required as well as proficiency in Word.
Basic knowledge of Excel and Adobe Acrobat.
PCLaw, E-Filing and PACER experience are preferred but not required.
Careful attention to detail and organization skills, as well as ability to complete disparate tasks quickly, are essential in this position.

Key Responsibility
Draft legal documents such as motions, notices, orders, and other documents related to Decedent’s and Disabled Person’s Estates in the Probate Division.
This includes typing, proofreading, and finalizing these documents.
Knowledge of how legal documents are prepared, how to efile, and how the court system works is essential.
Preparing various estate planning documents including vehicle transfer and insurance beneficiary forms.
Meeting with clients and witnessing signing of wills and powers of attorneys.
Filing of Deeds and Last Will and Testaments in Court and County Offices.
Experience providing support with both Residential and Commercial Real Estate Transactions including, but not limited to Real Estate Sales, Purchases and Commercial leasing.
Ordering of binders and other materials needed.
Draft general correspondence.
The person should possess excellent Customer Service skills.

Communicate with attorneys and companies regarding Legal Externships.
Client services: Interact by phone, mail or in person with case-related parties such as clients, co-counsel, opposing counsel, judges and other court personnel.
Post opportunities to 12Twenty, website, and elsewhere as needed.
Keep files of externships for ABA compliance.
