*Job Summary:*
The HVAC Dispatcher is a critical member of our team, responsible for coordinating and managing all service calls and technicians in the field.
This role requires excellent communication skills, strong organizational abilities, and a commitment to customer satisfaction.
*Key Responsibilities:*
* *Scheduling and Dispatching:*
* Efficiently schedule service calls and dispatch technicians to various job sites.
* Prioritize emergency service calls to ensure prompt response times.
* Monitor and update the status of ongoing service calls.
* *Communication:*
* Act as the first point of contact for customers, providing timely and professional assistance.
* Maintain clear and effective communication with technicians, providing them with job details and updates.
* Relay important information from technicians back to the customers or management as required.
* *Administrative Duties:*
* Keep accurate records of service calls, technician assignments, and customer interactions.
* Assist with invoicing, billing, and the preparation of service quotes as needed.
* Manage and update the service call database and scheduling software.
* *Customer Service:*
* Address customer inquiries and concerns with empathy and professionalism.
* Follow up with customers post-service to ensure satisfaction and collect feedback.
* Work closely with the service team to improve customer service processes.
* *Team Collaboration:*
* Collaborate with other departments to ensure a seamless service experience for customers.
* Participate in regular team meetings to discuss challenges, strategies, and workflow improvements.
* Support technicians by providing necessary information and resources for service calls.
*Qualifications:*
* High school diploma or equivalent; additional education or training in customer service or related field is a plus.
* Previous experience in a dispatcher role, ideally in the HVAC or a related technical field.
* Strong organizational and multitasking skills.
* Excellent communication and interpersonal abilities.
* Proficient in using computers and service management software.
* Ability to work in a fast-paced environment and adapt to changing priorities.
* Knowledge of HVAC systems and industry is preferred, but not required.

* This role is primarily office-based with standard working hours but may require flexibility for emergency situations.
